Senior Administrative Assistant (Administrative)
We are seeking an experienced and enthusiastic Senior Administrative Assistant who appreciates a strong company culture that emphasizes our core values: passion, humility and being genuine.
Reporting to the Director of Executive Operations, the Senior Administrative Assistant will be responsible for high level support of the CEO and members of leadership. The role includes managing schedules, coordinating meetings and performing various administrative tasks.
The successful candidate will possess a self-directed nature while maintaining a collaborative and flexible mindset. This role is based at New England Biolabs headquarters in Ipswich, MA.
Primary Responsibilities:
Support day-to-day calendar management, travel arrangements and expense reports for the Chief Executive Officer, Director of Executive Operations, Director of Business Development, and additional members of the leadership team as required.
Coordinate domestic and international travel, including booking flights, accommodations, car service, travel visas, restaurant reservations, meeting space and the like.
Coordinate internal/external meetings with efficiency and attention to detail while maintaining flexibility as needed.
Provide on-site support to organize a variety of administrative tasks including events, catering requests, assisting with special projects and maintaining contact information.
Manage the signature process for the team (coordinate signatures, file documents, and generally ensure the process progresses)
Leverage collaboration technology for meeting arrangements and be able to quickly troubleshoot common technical challenges independently
Collaborate with other departmental administrators and coordinators to ensure communication and implementation of company-wide best practices.
Provide coverage for the front desk team as needed to answer incoming calls and greet visitors.
Required Qualifications and Experience:
B.A. in a business or quantitative field, with a minimum of 5 years' relevant experience.
Excellent interpersonal, verbal, and written communication skills required.
Expertise in MS Office applications including MS Outlook, PowerPoint, Excel, Word, and SharePoint required.
Capable of maintaining confidential information.
Ability to exercise good judgment and be solution-oriented across a variety of situations in a growing, fast-paced organization.
Excellent organizational skills and keen attention to detail.
Strong work ethic, emphasizing both efficiency and quality of work.
Self-motivated and flexible with the ability to work independently and as part of a team.
Professional, positive, and friendly demeanor.
Required Qualifications and Experience:
Strong analytical skills preferred.
Experience coordinating international travel.
