The Administrative Specialist II provides in-depth administrative support and technical assistance to the Medication/Provider department, reporting directly to the Nursing Supervisor. The role includes scheduling appointments for medical providers, tracking referrals, managing data related to medication services, and performing other duties directly related to the medication department.
How will I contribute
Provide administrative support directly to the Medication/Provider department, ensuring smooth operations for all related tasks. Schedule appointments for medical providers, including injection appointments and follow-ups. Perform reminder calls for upcoming appointments, reschedule as needed, and address inquiries from the public regarding the program. Track and maintain key logs such as the Urgent Condition log, referral log, and standby list for medication services. Track and manage data related to all medication services, ensuring timely and accurate documentation. Assist with processing referrals for Medication Services, ensuring proper tracking and timely follow-up. Assist with front office duties such as answering phone calls and checking in consumers for appointments as needed. Maintain and manage data collection for the Medication/Provider department, ensuring data integrity and compliance with departmental requirements. Demonstrate proficiency in Kings Views electronic health record system and Microsoft Office components (i.e., Word, Outlook, Excel, etc.), including but not limited to: Smart Care Scheduler Creation of info notes and inquiries effectively Ensure compliance with all relevant codes of conduct and adhere to the requirements of the compliance program, which will be part of performance evaluations and conditions of employment. Follow all Kings View policies and procedures, as well as all applicable county, state, and federal regulations, and meet all performance obligations contained in relevant program contracts. Maintain a current, valid California Drivers License. If operating a vehicle as part of employment, provide proof of automobile liability insurance as required under California State Vehicle Code. Perform other duties as assigned to support the overall functioning and success of the program. May encounter risk of working with persons with SMI (serious mental illness) that may include, but not limited to persons in mental health crisis, persons that may be intoxicated or impaired by drugs or alcohol, persons who may be DTO (danger to others), DTS (Danger to Self), or GD (Gravely Disabled). If such situations arise, staff will be required to call local emergency personnel to help deescalate the crisis, use crisis intervention techniques, and consult with supervisor as soon as practically possible.
What I bring
High School Diploma (or Equivalent) 2 years of administrative experience, with at least 1 year in a similar role. Class C Driving License Knowledge in medication services, including scheduling, tracking referrals, and managing data related to the Medication/Provider department. This role demands a thorough understanding of medical appointment scheduling, referral processing, and compliance requirements within a healthcare environment. Additionally, proficiency in using electronic health record systems and managing departmental data is essential to ensure accuracy and efficiency in all administrative tasks Must possess strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. This role requires excellent communication skills to interact effectively with staff, medical providers, and the public. Additionally, the ability to handle sensitive information with confidentiality, track and analyze data, and efficiently coordinate appointments and referrals are essential to ensure smooth operations within the Medication/Provider department. Proactive, dependable, and highly organized, with a strong commitment to accuracy and efficiency. They must exhibit excellent interpersonal skills, demonstrating professionalism and empathy when interacting with staff, clients, and the public. Adaptability and a solution-oriented mindset are essential, as this role involves managing dynamic tasks within the Medication/Provider department while maintaining a positive, collaborative attitude. Bilingual a plus.
