The Service Department Administrator works under the supervision of the Service Manager and is responsible for all service department office procedures and other tasks as assigned. Qualified applicants will possess a professional, confident presence with a focus on accuracy, attention to detail, prioritization of demands, timeliness and initiative.
The hourly pay range for this position is: $22.00 to $24.00. This is a non-exempt position and is eligible for overtime.

Education/Experience:
High School Diploma or equivalent
Minimum 3 years' experience in equipment or auto industry is helpful but not required
Mechanical knowledge or experience is helpful but not required
Strong computer knowledge and proficient in Microsoft Office products

Maintain and track work orders; see the process through from open to close.
Open work orders
Enter work order stories and other relevant data as it relates to the service/repair
Draft work orders for review and manager approval
Close and invoice completed work orders
Obtain customer PO's when required
Mail finalized customer invoices
File completed work orders
Organize and submit the necessary documentation to the Warranty Department to ensure claims are filed within the designated time frame.
Key Technician's timecards daily.
Reconcile time on a weekly basis and submit completed report to the Payroll department bi-weekly
Key Technician's and other service department personnel's expenses.
Coordinate monthly shop safety and quarterly safety committee meetings.
Attend, transcribe and distribute minutes
Run and update weekly reports.
Open warranty work orders
Oldest 50 work orders
Maintain other Service Department records.
Annual service truck and crane inspections
Technician safety glasses and boot reimbursements
Technician tool inventories
Utilize MSDSonline to manage and maintain branch's safety data sheets.
E-binder maintenance, flash drive updates and new products
Effectively and professionally communicate with all Modern Machinery employees, customers and vendors.
Ability to work with limited supervision.
Perform other job-related duties as assigned by your manager.
