ORGANIZATIONAL SUMMARY:
The Taneja College of Pharmacy will be managed by the Dean and an actively-engaged administrative leadership team. The USF College of Pharmacy has created a Doctor of Pharmacy program at USF Health that will create an academic and clinical learning environment known for producing outstanding pharmacist clinicians trained in advanced principles to provide exceptional patient-centered care.
POSITION SUMMARY:
The position will support the Chair of Pharmacotherapeutics and the faculty in this department. The position requires the ability to learn University Policies and Procedures, work independently with good judgment and be self-motivated. The Office Manager may supervise assigned support staff in the office to fulfill the administrative requirements for the department. Strong Communication skills will be required to represent the College of Pharmacy within the University and with outside entities and government officials. Excellent written & verbal skills and the ability to mutlitask is critical in this position.
RESPONSIBILITIES:
- Plan prioritize and schedule meetings and appointments for the Chair of Pharmacotherapeutics and Clinical Research. Make daily decisions regarding calendars.
- Must be able to explain policies, answer questions, and independently resolve problems whenever feasible.
- Develop, manage and maintain functional filing system for hard copy documents. Receive telephone calls and respond independently as appropriate. Examines all incoming correspondence to determine priority items while ensuring confidentiality.
- Compile and maintain information that may require web or library researching and gathering.
- Responsible for efficient and timely management of conference and travel arrangements, itineraries, agendas, flight reservations, lodging, car rental, etc.; and compiles receipts and prepare electronic travel reimbursements for the department and COP students as needed.
- Support purchasing requirements for the college and obtain price quotes, entering into university systems, receive purchase orders and maintain P-Card information as required.
Programmatic Assistance with the following:
International/mission travel for both faculty and student experiences
Career Orientation programming
Coordinates communication to post-graduate regarding orientation and training for COP post-graduate program
Assists the Office of Faculty Affairs to coordinate interviews and onboarding of new faculty
Coordinates and plans retreats and professional development meetings
Provide quality Assurance for these programmatic responsibilities
Course Support:
Facilitating use of Canvas for departmental faculty
Classroom set-up
Grading assessments
Facilitate classroom activities
Assist with coordination of course materials and supplies
Administrative Responsibilities to include:
- Assists the Office of Faculty Affairs with administrative requirements for PCR Faculty Searches.
- Responsible for on-boarding and faculty moves.
- Manages and audits annual and sick leave records and coordinates paid parental leave and FMLA. Will be a Leave Coordinator for the department and may assist other areas of the college with their leave coordinating responsibilities on an as needed basis.
Other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED:
Previous experience in a university setting is preferred, but not required. Knowledge and experience with USF systems is preferred.
