Human Resources Assistant (Human Resources)
About the Position:
The successful candidate will assist the corporate HR Manager by providing support to over 70 employees in the 10 states of CA, WA, OR, AZ, TX, CO, GA, OK, SC, and NM. The HR Assistant will help support running the day-to-day operations in human resources, including talent acquisition, employee relations, benefits administration, legal compliance, insurance administration, risk management, health and safety, business licensing, policy development, and other reporting and recordkeeping duties. The HR Assistant will report directly to the HR Manager to help support the firms business goals, maintain a high level of service, and create a safe and supportive environment for employees while promoting WESTs company values.
Responsibilities:
Risk Management:
Assist in the development, distribution, and presentation of safety training materials, policies, and procedural guides to offices.Maintain safety boards and required office posters at each physical location and intranet site.Maintain company safety statistics and Occupational Safety and Health Administration (OSHA) reporting forms.Support project insurance by reviewing and researching project managers questions about contract wording and insurance requirements; coordinating with the insurance broker and legal counsel for contract guidance; coordinating claim communication, maintaining and tracking requests, and distributing certificates; maintain records.Assist with compliance reporting and questionnaire submittals.
Policy and Training Development:
Assist in reviewing, revising, and creating personnel policies and training materials.
Talent Acquisition:
Assist in posting openings, coordinating interview meetings, and responding to applicants.Partner with hiring managers to develop effective recruitment strategies.Track recruitment activities in the applicant tracking system and ensure legal compliance.
Employee Recognition and Engagement:
In coordination with office managers, manage employee recognition program by tracking years of service, ordering and distributing employee service awards, and supporting recognition events.Assist in planning corporate and office initiatives and events, e.g., wellness campaigns, Engineers Week, parties, employee gifts, and rewards.Assist in managing WESTs swag store and maintaining employee accounts.
Business Licensing and Registrations:
Track licenses and registrations; complete new registrations/renewals/cancellations for multiple agencies and private entities; and create and maintain accounts on vendor-required systems.
Office Support:
Provide support to staff and administrative team as needed. This may include data entry, recordkeeping, and assisting with tasks ranging from typing to technical assistance. Additional duties as assigned.
Qualifications:
A degree or certificate in HR, business management, or a related field or an equivalent combination of education and experience may be accepted.A minimum of two years of HR-related experience, including one year of full-cycle recruiting. Work experience with engineering firms is highly desired.SHRM-CP/SHRM-SCP or PHR/SPHR certification preferred.
Skill Requirements:
Knowledge of HR practices, employment laws, regulations, and industry trends.Basic proficiency in computers, including familiarity with MS Office applications (Outlook, Word, Excel, PowerPoint, and Teams).Math computations, spreadsheet calculations, and data manipulation skills.Familiarity with HR technology and tools, including HR information systems and office equipment used in the daily operating environment.Written and oral communication skills, including a solid foundation in English grammar, spelling, and punctuation.Capacity for critical thinking, research, and problem-solving, and a willingness to learn.Time management and organizational capacity necessary to carry out competing priorities in a fast-paced environment.Ability to be a self-starter, manage own schedule and tasks effectively and work as part of a team.A friendly and helpful attitude, displaying good judgment, inspiring confidence, advocating for employees, and handling confidential matters with discretion.
Salary Range:
$30.10 - $35.12 part-time hourly, non-exempt
