Position Summary:
The Department of Electrical and Computer Engineering educates engineers and scientists who become leaders in academia, industry and government, where they redefine the limits of technology. The scope of our interdisciplinary research collaboration is virtually unmatched, and Rice ECE is globally known for our extensive reach across disciplines, including designing next-generation wireless networks, nanophotonics, terahertz laser spectroscopy, digital systems processing, neuroengineering, machine learning and data science, healthcare devices and analytics; and a plethora of other interests.
The Program Administrator in the Department of Electrical and Computer Engineering will be responsible for a variety of administrative duties that facilitate the Laboratory for Nanophotonics' (LANP) ability to effectively lead the LANP group. This role involves leading, overseeing, and coordinating various departmental programmatic activities and special projects, such as conferences and events. Additionally, it includes managing the financial aspects of the LANP group, including p-card reconciliations, reimbursements, and reporting. The individual in this position will work under the general supervision of the LANP group. A high level of professionalism, organizational and interpersonal skills, along with the ability to anticipate and adapt to needs, is essential for this role.
Ideal Candidate Statement:
The ideal candidate has experience supporting the administration of research projects by handling tasks such as data entry, document uploads, and information collection.
Workplace Requirements :
Hybrid position: This position is offered as an in-office and remote work position to provide flexibility and support collaboration. Per Rice policy 440 , work arrangements may be subject to change.
- This position is expected to be in the office four times per week
Hiring Range: $56,000-$65,000
*Exempt (salaried) positions under FLSA are not eligible for overtime.
Minimum Requirements:
- Bachelor's Degree
- In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted (remove if not needed)
- 2+ years of experience
- In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted
Skills:
- Strong verbal and written communications skills
- Ability to work well under pressure and manage projects simultaneously
- Strong organizational and time management skills
- Advanced knowledge of Microsoft Office suite
- Strong data analysis skills
- Adept at problem solving, creating contingency plans and handling issues when necessary
- Strong client service orientation and attention to detail
- Ability to develop complex or multiple program partnerships and funding sources
Preferences:
- Experience in higher education
- Experience in research award administration
Essential Functions:
- Coordinates and reviews account setup; reviews, tracks and approves expenditures; monitors budgets; provides data for financial and progress reports
- Participates in account close-out activities
- Manages and maintains records, files, and reports
- Makes travel arrangements
- Coordinates conferences, seminars, and events for the research group
- Processes a variety of financial transactions; monitors annual project budgets, and prepares expense reports and reimbursements for the research group members and visiting collaborators
- Provides advanced administrative support to the LANP group
- Creates budget plans, monitors and approves expenditures, develops reports, conducts analyses and manages and maintains financial records
- Performs all other duties as assigned
Additional Functions:
- Assists with visa applications and Visitor Management System entry
- Completes Faculty Information System reporting
